With these 3 shockingly simple techniques, you will triumph over procrastination.
3 easy techniques to instantly stop procrastinating is a post from: Swift To-Do List Blog

The following 3 techniques are extremely powerful and work instantly. I’ve been developing and refining them over the years – they are based on solid proven psychological and productivity principles.

In order to beat procrastination, first of all, pick just one important task you are procrastinating on. Then use the following 3 techniques, and I personally guarantee you that you will stop procrastinating and start working on the task immediately.

1. Explore and map the task

Procrastination is often related to fear. We are often afraid of unknown work. After all, it might be too much work, or we might be unable to do it. The easiest way to reduce this fear is to explore, map and research the task.

So, how do you explore a task? Well -

Just break the task down into subtasks! This is the best way to “explore” it, unpack it and see what’s really going on.

If you use Swift To-Do List, to break a task down into subtasks, simply select it, then start adding subtasks with all the steps necessary for completing the task.

Add even all the small steps. Try to order the subtasks roughly in the sequence they need to be done.

While you are adding the subtasks, pay extra attention to all the “research” actions – steps that require you to gather extra information and data in order to move forward. These “research” actions are what you want to do first, because doing them will help you to unpack the original task even further.

Once you break the task into subtasks AND start gathering all the necessary information, materials and data, and possibly discuss it with your co-workers or boss, the fear of unknown will diminish, and as a result, you will be able to start doing the task right away without procrastinating anymore.

2. Find the smallest possible next step – then do it!

When we procrastinate, we often feel that we are simply unable to do the task. However, when you identify a tiny easy action to get started on the task, you will be absolutely confident that you can do it.

For example, you might be procrastinating on this task: “Write the 70-page Q3 report”

So, you quickly think about what you actually need to do to get started on it, and determine this smallest possible next step: “Open MS Word and write a rough half-page outline of the Q3 report”

Can you open MS Word and write a rough half-page outline? Of course you can! You know you can absolutely do it. You are confident. So there is no reason to procrastinate anymore. You can just do it. So you do it.

And once you do it, you can simply repeat this process – what is the next small easy step?

3. Schedule fun and limit the work

This technique might seem counter-intuitive at first, but it’s extremely effective. It uses powerful reverse-psychology.

Get this -

Another big reason for procrastination is the fear you will miss out on all the fun and pleasant things in life.

The solution is ridiculously simple: Guarantee the fun first. Then limit the time you have available for work.

Simply schedule some fun! Plan and schedule a night out. Or, schedule any of your favorite relaxation, entertainment, sport or fun activity that you just love.

Ideally, schedule this pleasant activity right after work.

Next, limit the time you have available for your work. Give yourself a hard time limit that forces you to stop working at a specific time of the day. Absolutely no overtimes allowed. This will motivate you to stop procrastinating and get to work, right now.

Tip: When scheduling the fun activity, ideally pick an activity right after work that involves other people. You will know that you HAVE to be there because of the other people, so you will know that there is a very real time limit on your work today. This will strongly motivate you.

As an extra bonus, the fun activity will help you recharge your batteries and sharpen your saw, so the next time you get to work, you are strong. Obviously, this also makes you immune to burnout.

How procrastination works

If you want to learn more about how and why you procrastinate, you will love this.

Here’s my summary of The Now Habit, which is probably the best book on procrastination ever written.

This summary will give you the most important insights from the book in just a few pages.

In the summary, you will also learn additional causes of procrastination (perfectionism, fear of judgment, fear of success, and more).

Again and again, it is proving to me that if I begin my day by immediately doing the most important goal for that day, the day will be a tremendous success.

How about your pet project? Do you think that you will ever finish it, if you don’t put in effort consistently?

Just wake up, and start working on the most important goal. Just for 5 minutes. It will be more – but the 5 minute target removes all excuses.

Success creates more success, and achievement creates more achievement. It feels SO GOOD to complete something RIGHT AWAY in the morning, before some lazy late-sleepers are even waking up. Talk about a head start!

There is nothing like early morning success. It truly sets the tone for the day.

Are you thinking that it won’t work for you? Perhaps it won’t. But I urge you to try it for yourself, because I’m sure it will work. Things in motion tend to stay in motion. Once you accomplish something – you will want to accomplish more. In fact, you will be excited! You will wonder “What else can I achieve today? How great I could make this day?” If you begin your day with a perfect track-record, you will go to extreme lengths to keep it that way.

This might seem like such a small thing – but once you experience it, I promise you will understand how huge impact this can have for you.

And remember – it works the other way around too! If you begin your day by goofing around and surfing the web, chances are, you won’t accomplish much that day. Avoid wasting the start of perfectly great days like a plague. Start of your day can literally make or break it. And your life is nothing more than a collection of days!

Humor me and try this. After all, what could you lose? Do you want more excitement, enthusiasm and sense of accomplishment in your life? Since you are reading this post, I bet your answer is resounding YES!

So, here is what I suggest you to do immediately:

Write your most important goal for tomorrow on a piece of paper and post it somewhere where you will see it after you wake up tomorrow. It can be your alarm clock, computer screen, or mirror in the bathroom. And if you want to get the maximum out of this, go to bed a bit sooner than usual – and wake up a bit sooner than usual, too! After you wake up, you will see the reminder. Then just do it!

Arguably, I believe that mornings are better than evenings for working on your most important personal goals. Sure, everyone is asleep at night so there is silence and so and so, but mornings have their advantages too. The main advantage is that in the morning you are fresh, and your mental desktop is completely free. It’s like a freshly rebooted Windows computer ;-) If you live a healthy life and exercise, you should be at your peak state in the morning. So why not fully harness that edge, before 1000 little busy-spams of the regular day attack your brain? And hey, you can always do both – mornings and evenings.

The first hour of your day is the navigator of the day – so make sure you navigate your day right.

(And no, after posting the paper reminder for tomorrow’s goal, there is no special reason to wait until tomorrow. Once you prepare the paper, then do something – anything – towards your goal – right now!)

- By Jiri Novotny+, the obsessed author of task management software for Windows, Swift To-Do List. Jiri’s life quest is to become a productivity and achievement world-class expert to empower others, and his current main goal is to create the best task and notes management software for Windows.

Perhaps you are in a rut. Or just feeling like not working. Or your whole world is falling apart. Perhaps your friend have sent you a link to this post to help you get back on track.

Do you need to get motivated again? I’m here to help.

If you realize the following 10 things, it might not be so hard to get back on track.

Let’s get started.

1. You are GOD!

You are creating something from nothing. In my book, you are a god.

As Megaherz sing in their tune “Gott Sein ’04″:

Es ist nicht leicht ein Gott zu sein.

It means: It is not easy to be a god.

But damn, it is worth it!

2. The sky is NOT the limit!

In the grand scheme of things, you are literally building the universe. You are accelerating the process of evolution.

There is nothing more noble than making the world a better place. For you, for me, for everyone and everything.

3. I love you

Sometimes, it might seem like no one can appreciate what you do. It might seem like no one cares.

But know this: I do care. I have a deep admiration for all builders. I love you. You are the reason why life is great. I’m your raving fan in the first row, chanting your name, even when the hall is empty.

You are the DJ in this galactic party. If it weren’t for beings like you, there would be just rocks and stupid bored amoebas sucking the rocks, all covered in dust and darkness… or something like that :-)

4. Don’t forget to be grateful

Be grateful for what you have, whatever it is, because if you would’ve behaved like a quitter in the past, your life would completely suck now. I guarantee that.

It is easy to forget your past successes. But just stop for a moment, and think about all your past achievements. You’ve probably forgotten the excitement that came with each milestone in your life, but the excitement still lives inside you. Find it, and bring it out.

Sometimes I wish I could go back a couple of years, hug myself, and say to myself: “You are awesome. Thank you so much for clenching the teeth and spilling the sweat and blood when things got tough. My life rocks now – and I owe it all to you!”

5. Already given up? Bullshit!

If you think that you’ve already given up, I’m telling you: That’s bullshit!

The fact is that you’ve just paused for a while. We both know that you are now ready to resume rocking!

6. Figure it all out

If you need to catch your breath and figure things out, then do that. Take the time to think your life through. Make sure that you really want what you are striving to achieve.

Pen and paper (or a word processor) is the best friend of your sanity. Use them. Think on paper. Resolve all the lingering issues and insecurities, then recommit fully to your goal.

7. It is worth it

When you struggle, repeat this like a mantra: It is worth it. It is worth it. It is worth it

The pain and emptiness will always go away. It is worth it.

8. Shut the world off

When everything is screaming into your face, demanding attention, it’s hard to focus.

But you can always either make the distractions go away, or go away from them yourself. Letting the world spam your mind is entirely optional.

9. Grind on

However hard it is, you can always grind on. You may crawl like the tiniest worm, but crawl. Do the tiniest baby micro-step towards your goal, but freaking do it! And do it now.

10. Never stop dreaming

Never stop imagining how great your life is going when you achieve your goal.

Day-dreaming feels great. It can quickly pull you up from the dark cold reality.

Imagining the end brings you closer to it.

When you start your work-day, you have a choice. Most of us start the day with a random task – whatever comes to mind first, that’s what we do. However, there is a far better approach.

Although you can choose between starting the day with the easiest task or starting the day with the hardest task, there is a far better approach. Starting the day with the easiest or hardest task is suboptimal. Why? Because importance nor reward is taken into account.

The best thing you can do is to:

Start the day with the most important task

This has the biggest payoff. The most difficult task is often not important at all – but the actually most important task? Boy, if you make just a little progress on that, you will feel great.

But what if you are not feeling like doing the most important task? Or, what if you are not feeling like working at all? Well, then:

Start the day with the most fun task

This will shoot your motivation up. It will feel rewarding.

This approach can be especially of benefit for you if you have problems with procrastination. If you are feeling like procrastinating, this can save the day! (Another solution might be to break the most important task into tiny sub-tasks, then eliminating them one by one. See my previous post Deal with procrastination with 100% success)

There are numerous benefits:

Quick reward

Feeling productive

Feeling motivated

Most importantly: Things in motion tend to stand in motion – that’s the physics law. If you have finished one task, why not finish a second one? And then another, and another? Go get them!

Are you aware of where you stand and what is going on in your life? Do you know what is your weakest area? This exercise will give you exceptional clarity.
Raise your awareness of your life is a post from: Swift To-Do List Blog

Try this excercise. It will take you only about 30 minutes, but the insights you will gain from it will be profound and enlightening. Open Swift To-Do List and create a new memo in tree called “Awareness”, then create another 7 sub-memos under it, called:

Work & Finance

Relationship

Home & Family

Health

Social Life

Personal Development

Fun & Adventure

Your tree might look something like this now:

These areas represent your life. They should capture everything essential that is going on in your life. If you wish, you can create many more areas, or completely different areas. For instance, while organizing your financial goals, you might include a section dedicated to exploring innovative opportunities such as ビットコインカジノ, which have gained popularity for their integration of cryptocurrency into entertainment and gaming. This addition could help you track how emerging technologies intersect with your interests or financial strategies. For example, if you are a student, you could also create another area called “Education.”

Consider creating these additional areas in the tree (a new memo for each one): Spiritual, Emotional, Mental, Contribution, Goals, Habits.

Now you are prepared to do the exercise:

Go through all the areas and write a summary of each area inside its memo. Write how you see that area of your life right now – anything from 2-3 sentences to a couple of paragraphs.

Rate each area on scale from 1 to 10, where 10 means that it couldn’t be possibly better.

Now go back to the parent memo (Awareness), insert a date stamp (Control + D) and write your general thoughts about your life.

When you are finished with writing your overall assessment of your life and insights gained from writing summaries of the individual areas, answer these questions:

What is my weakest area?

What is my strongest area?

Am I sacrificing any areas for other areas?

What area do I want to focus on in the next 6 months?

What is the most important thing I can do to improve my life?

If you’ve identified your weakest area, consider working on improving it. Or are other areas more important for you right now? What have you gained from this exercise? From my own experience, I can honestly say that this exercise is very powerful.

You can now collapse the parent memo for future reference.

Review your thoughts again in 6 months. Swift To-Do List has excellent clipboard support, so you can duplicate the whole Awareness memo with all its sub-memos (Ctrl+C, Ctrl+V), and write a fresh view of your life, then compare the two. If you want to get truly powerful revelations, repeat this exercise every 3 months for a couple of years. The knowledge you can gain by reading your past views of your life can be invaluable.

This post has been inspired by Steve Pavlina podcast “Truth & Awareness“.

Becoming more productive is much easier in the right environment. Creating such environment is easier than you think. These 10 tips will give you some great ideas about what you can do right now to improve your work area.

1. Log off from Facebook and other websites where you waste time. Seriously, checking it once (or twice) a day is enough. You do not have to be constantly logged in. When you log off and then go to www.facebook.com during your workday when you are procrastinating, you will have to log in again – this will remind you that you in fact do not want to spend your time on Facebook now.

2. Remove all shortcuts and links to useless websites, games and programs that waste your time. That’s easy to do – but you still need to relax. That’s why you also need to discover and start using new ways to relax – ways that actually help. Taking a walk is the time-proven favorite of numerous geniuses and great minds. Or consider taking a short nap. Resting by staring in the screen some more won’t help at all. (See older blog post Prevent Repetitive Strain Injury for some extra tips about what to do on your work-break.)

3. If you use a tabbed browser, close all old tabs. If you keep websites that you want to return to later in the browser tabs, then bookmark them instead, but close the tabs. This will make it much easier to focus. Also, clear your browsing history, so it’s harder to go to websites where you waste time – you will have to type the website addresses manually again.

4. De-clutter your work desk. Ideally, only things related to your current task should be located on your work desk. Put everything else away – if there’s no place to put the stuff, get some drawers. Just put the stuff away.

5. De-clutter your Windows desktop as well. Remove old programs and files that you don’t need anymore.

6. Are there any popups or notifications jumping in your face during your workday, demanding your attention? Disable them. Close all programs that display them. You can’t work like this – it’s impossible to focus when you are bombarded by infinite stream of distractions and demands. (For example, Twitter supports RSS – why not use that instead of real-time notifications?)

7. Close all programs that are not relevant to your current task. This is crucial. If these programs start automatically with Windows, disable it. (The easiest way to do it is: Press Win+R, type in ‘msconfig’ (without the quotes), hit Enter, and then go to the Startup tab and disable all programs that you do not need automatically started with your system).

8. Can you ergonomically improve your work place? New chair, better keyboard or desk – things like this matter. Is there any aspect of your working environment that could be more comfortable? Improve or fix it.

9. Turn your LCD display sideways. This might sound like a joke, but it’s not: Displays that support the “pivot” technology and allow you to turn them sideways are great, because a work-area that is taller than wider is extremely useful for many kinds of work, including writing and reading – probably the two most common tasks that you do at your computer. Even the cheapest displays nowadays support this technology. Perhaps your LCD display already has it, you just don’t know about it! If not, consider getting a new and better display.

10. Most importantly – get and stay organized. The easier it is for you to be organized, the more likely it is that you will be and stay organized. Swift To-Do List makes this the simplest thing in the world. In fact, it makes being organized literally fun – and I’m not exaggerating here. That’s the exact word that our users report about their experience with Swift To-Do List. Download it today.

Life is just one of long stream of tasks. That makes it even more important to do more things you love doing. If you are not doing things you love, your life is silently fading away. But you can change it!

Start a new project – “Happy Me”!

The goal of this project is to make you happy.

What are the things that you’ve always wanted to do but never got to do them? Surely there must be a way how to make some of these things happen!

Once you discover some fun things that you want to do, assign them yourself just like any other task. You can create an extra task type in Swift To-Do List program for these tasks, named “Fun” or “Happy {your first name}”.

Huge benefit is that if your to-do list has mixed dull and fun tasks, it will overall look much more optimistic and fun. In fact, your overall productivity can skyrocket!

After all, why are you doing all the boring tasks? Probably to earn a living and security – essentially, these are things that make you feel good. So why not take a shortcut sometimes?

Do more things for yourself.

Productivity boost is a hidden benefit

Have you ever woken up and felt like you really, really, really do not want to do any tasks today?

Well, if you kick-start your day with appetizer fun-tasks, it might just switch you into the task accomplishment mode and you will continue working on other tasks! Try it and see how it works for you.

You can also specify a reward/fun task for each of your hard tasks. Simply specify the reward in the task notes. This will make hard tasks much more appealing. You can even start by finishing the reward/fun tasks first. Once you enjoy the reward, you simply have to finish the hard task, don’t you? :-)

If you are feeling overwhelmed, stressed, or demotivated, you might like to know why. It is not always clear. You might blame some particular project or thing that has happened in your life, but the underlying cause is much simpler:

STRESS = TOO MUCH STUFF IN YOUR HEAD

Worries, tasks, details that must be remembered – all these cause stress – but only when they are stored in the wrong place: your head. It is extremely hard to remember and organize everything only using your head. You need to use another approach.

How to resolve stress?

It’s simple: Put the stuff from your head somewhere else! For example, you can put it into our task and notes management application “Swift To-Do List”. It has been designed especially to help you get organized easily and quickly. You need to write task lists, take notes, and organize them nicely. Swift To-Do List allows you to use 144 different icons that make organizing fun.

When you move the the stuff out of your head into your computer, you will free your mental resources. You will be able to focus. You will be able to work, and more importantly, enjoy your work again. Do it today.

If your computer can remember it instead of you, it should!

You can learn more about the benefits of writing things down in a previous post “How to upgrade your brain“.

Writing things down also does wonders when you are struggling with procrastination.

Goal achievement – many people find it very difficult. However, with the right tools and attitude, achieving your goals can be not just possible, but even fun!

Step 1: Write your goal down

It all starts with the written intention to accomplish your goal. Incredible fact is that just writing your goal down will automatically make it more likely to be achieved. This step is crucial.

Swift To-Do List 7 is an ideal personal organizer application for organizing not just your goals, but also all tasks, notes and reminders associated with them.

Because every goal is a project, create a new to-do list for your goal in Swift To-Do List 7. The task list manager has various icons for your to-do lists that you can use to track and visually distinguish your goals. There is a target icon, and also flags in 4 colors and many other icons.

Good goals should excite you. They must have a heart. Your heart.

Step 2: How you can achieve it? Think it through.

Think deep and hard how will you achieve your goal. Use your imagination to visualize that the goal is already accomplished. How does it feel?

Play yourself a movie of you accomplishing the goal in your mind.

Write all your ideas and thoughts down.

Good goals should be measurable, concrete, and achievable. Measurable – that’s very important, because if there is a gray area where the goal can be considered achieved – or not, you will never know if you’ve already achieved your goal, and this will demotivate you.

Step 3: Ask yourself these questions:

Are you willing to pay the price?

Are you sure? Are you willing to accept all the consequences and responsibilities that come with your goal?

By looking at your past, is it likely that you will succeed? What could you do to change that?

Are you willing to start today? If not, then perhaps it won’t change tomorrow.

Do you honestly believe that you will succeed? If not, why not? And what could you do to ensure your success?

Again, write your answers and thoughts about your goal. In order to achieve it, you must believe it.

Step 4: Create action list

Fill your goal’s to-do list with with the key actions that you could do now. Look for the maximum pay-off. Write notes for each task where relevant.

Throw overwhelming force at your goal. Do everything in your power to ensure that you can achieve your goal.

Can you use recurring tasks? Reminders?

Can you create a habit around your goal? If you can develop a habit that will help you achieve your goal, and stick with it, then your success is guaranteed.

Step 5: Execute, track your progress and don’t give up

When you set the goal, you are likely going to be motivated and energized, and you might even start to work on your goal a little, but the hard part is not giving up.

This is where repeating reminders, or recurring tasks might come handy. Swift To-Do List 7 can repeatedly remind you of your goal. In fact, you can write a note to your future self. Write yourself a message about how you really want to achieve your goal, and how you want to keep up.

Now is the time to do the hard work. Good luck. Never give up, work as often as possible on your goal. Every little step in the right direction helps.

Don’t stop until you achieve it.

Change your environment to help you achieve your goal. Think about it – how could you modify your environment to enforce achievement of your goal? Perhaps you could post some post-it notes around for yourself. Or, for example, if you are trying to lose weight, you could throw-off the junk food from your fridge. Or, if you are trying to save money, you could place piggy-bank on your table. Do anything that will help you to stay on the right track!

This is a motivational post. The simple truth is that being organized can bring you more time, money, success and happiness. We happen to have a great organizer to help you to get organized in no time.

Getting organized with Swift To-Do List 7 is really easy, and has many benefits:

1. You will upgrade your brain to version 2.0

If you take all the work-related stuff and to-do’s from your head and place them in Swift To-Do List 7, a wonderful thing happens – suddenly, your mind has 100% resources available and 100% focus just for the current task at hand.

2. You will advance in your career faster

Stop wasting time on tasks with zero impact and go straight to the juicy, meaty stuff that really matters and that can move you forward in your career. This is possible only when you are organized using a great task list manager like Swift To-Do List 7 that allows you to prioritize your tasks.

3. You can double or triple your productivity

With less time and mental resources wasted, you will have more time for the important stuff. The real game changer comes from your upgraded brain though – if you can finally fully focus and always know what to do next, you can double your productivity easily. If you are unorganized or stressed, you are much less productive than you think.

4. You will be more motivated

Success brings motivation. It is so much easier to achieve success when you are organized! In fact, work can sometimes feel like fun.

5. You will have more time

It’s really simple: If you are more productive, you get more done, and you have more time.

6. You will have more money

We all know that time is money, but success brings you money too, which can be a really significant benefit. By using trusted gold trading platforms, you can turn your time and effort into smart opportunities that help grow your wealth even faster. For example, exploring opportunities like wholesale gold bullion Melbourne can also complement a well-planned financial strategy by adding long-term value and stability.

7. You will eliminate any possible stress

With all your tasks and notes in one place, safely stored in reliable task list management software like Swift To-Do List 7, there is nothing to worry about. You can even use inbuilt reminders and recurrent tasks to make sure that you will never forget anything again. Liberate yourself from clutter and stress.

8. You will reach your full potential

If you get organized, you can achieve much more than if you are limiting yourself by being disorganized.

9. You will be able to achieve your goals more easily

All the benefits work together and give you more power to do what you truly want, and that is the real freedom.

10. You will love your work and life

How can you NOT love your life when you are successful, happy and without stress?

With the right attitude, Swift To-Do List 7 can literally change your life. I personally use it myself every day not just to run and manage our whole business, but to take control of my own life.
