Our main goal for Swift To-Do List 10 is now a long-awaited full Scheduler/Calendar. We will also introduce some other new features and improvements in the Secure Sync infrastructure.

Swift To-Do List Accounts, Organizations and Subscription Plans

If you want to use use any of the online features (Secure Sync, mobile apps, team collaboration) you need to create your own Swift To-Do List Account. You can do so directly in Swift To-Do List for Windows when you sync your tasks for the first time.

We are now also introducing “Organizations” into Swift To-Do List -

To use Swift To-Do List in a team, you can now create an organization inside your Swift To-Do List Account. Each organization can have unlimited number of databases and up to 50 members. Organizations allow you to take advantage of multi-user plans, and they also allow you appoint admins and invite only specific people to databases owned by the organization.

Organizations come with 30-day trial. Then you need to purchase a valid multi-user plan for each Organization. We offer Mini plan for up to 5 users ($495/year), Small plan for up to 10 users ($995/year), Medium plan for up to 25 users ($2495/year) and a Business plan for up to 50 users ($4995/year).

Members of the organizations can also create their own personal private databases inside their Swift To-Do List Accounts.

If you want to use Swift To-Do List as a single user, then you also get a 30-day trial for the new online features. You then need to purchase a Personal plan. If you already own Swift To-Do List, you will automatically get a discount on your plan.

If you have been already using the beta sync feature, then we’ve created an organization inside your Swift To-Do List Account for you automatically. We’ve also moved all databases with more than 1 user into the organization for you, and made you an “administrator” and “owner” of the organization.

The Secure Sync background story

The Secure Sync features were in development for several years. All this time, we’ve been intensively working on them. And now, they are finally finished! It is the main reason we are introducing the new Swift To-Do List subscriptions.

During the public Beta period, the Secure Sync features were free. However, there are ongoing costs associated with running, maintaining and supporting the Secure Sync service, its infrastructure and the ecosystem of apps (Windows, Android, iOS, web), so subscription payments are necessary.

However, there’s a silver lining. Besides the new functionality, the switch to subscriptions comes with additional benefits to you – for example, we can now ship new features immediately, and do not have to bundle them into “major upgrade” packages like we did previously with Swift To-Do List 7, 8 and 9, or with the Ultimate edition.

Questions and Answers

Q: What if I am not interested in the online, mobile and team features?
A: First of all, all these features are optional. And even if you are not interested in any of the online features, you can still purchase Swift To-Do List for Windows! Just subscribe for 1 year, and even if you do not renew your subscription, you can keep using it forever (although without updates). Or, if you already own it, just keep using it.

Q: So, how can I use Swift To-Do List in a team?
A: If you were using Swift To-Do List in a team during the sync public beta, we’ve automatically created an organization for you. Feel free to rename it using the Manage Sync button in Swift To-Do List for Windows. If you are a new user, see above in the “Swift To-Do List Accounts, Organizations and Subscription Plans” section.

Q: How about license codes?
A: When you purchase or renew a subscription, you will also receive a license code for your Swift To-Do List for Windows. You can enter it using menu Help – Enter License Code. You should do so even if you’ve already purchased Swift To-Do List in the past or renewed your subscription. In the future, the license codes will be downloaded automatically for you.

If you have purchased a multi-user plan, you should email the license code to each member of your organization.

Q: How can I move a database from one organization to another one, or from my personal Swift To-Do List Account into an Organization?
A: Currently, you have two options. The first option is to email contact our support at support@dextronet.com – we can do this for you.

The second option is to un-sync the database using menu Sync – Un-Sync, then sync it again with the desired new “owner” organization. You then need to invite everyone into the database again. Everyone else then needs to create a new local empty database file using menu New – Empty Database, and sync it with the new cloud Organization’s database that you’ve invited them into.

Q: How can I upgrade to a higher plan?
A: Use menu Sync – Manage Sync. Then click the “Upgrade to higher plan” or “Upgrade to multi-user plan” link on the top-right of the “Manage Sync” window.

Q: How can I downgrade to a lower plan?
A: Simply let your plan expire, then purchase a lower plan. To cancel auto-renewal of your plan, use menu Sync – Manage Sync, then click “Cancel auto-renewal”.

Q: When I am a member or an admin of an organization, can I also have my own personal databases?
A: Yes. When you are a member of an organization, you can have your personal databases directly inside your Swift To-Do List Account that are completely separate from the organization. When syncing a database, make sure that you select “You” as the owner in the Secure Sync Wizard.

This also means that when you have a multi-user plan, or are a member in an organization, you do not need a Personal plan if you want to use Swift To-Do List for your personal tasks as well.

Q: How do I know when to renew the subscription?
A: If you have auto-renewal enabled, you don’t have to worry about it at all – it will auto-renew for you automatically, unless you cancel the auto-renewal. If you do not have auto-renewal enabled, then you can click the Manage Sync button in the Sync tab to see how many days are left in your subscription. During the last 14 days, Swift To-Do List for Windows will also display the days left on the top-right part of its window.

You can get the app for iOS at Apple App Store or for Android from Google Play.

Don’t confuse the new mobile app with the old one called “Swift To-Do List Inbox”. The old inbox app just allows you to add tasks when on the go – but the new one is full-featured. You can work with all your to-do lists and memos, add and edit subtasks, setup reminders, edit notes (including formatting), and more.

The mobile app is fully synchronized with the Windows desktop version of Swift To-Do List 9.

To use the new mobile app, you will need Swift To-Do List 9. If you don’t have it, download it from our website.

After installing and starting Swift To-Do List 9 for Windows (download), use menu File – Advanced – Enable Beta Features. This will display the Sync tab. Click the Sync button inside the Sync tab to create your Secure Cloud Sync account. With this account, you can log-in into the mobile app.

The mobile app is completely free for Swift To-Do List 9 users.

So, what’s the big news? Well, compared to 7.3x, the new Swift To-Do List 7.46 brings you:

Creation of tasks from HTML-only emails

You can now Drag & Drop emails that only have HTML content into Swift To-Do List to create tasks from them. The HTML content will get properly processed and inserted into the task notes, retaining the formatting. See a quick video how to create tasks from emails.

Numbered lists in notes and memos

You can now create numbered lists in task notes and memos, not just bullet lists. There is a new toolbar button that you can use for this, shortcut for it is Ctrl+Shift+N. You can also use the Ctrl+Shift+L shortcut to cycle between list styles (including Roman and alphabetized list style).

Drag & Drop from Word, OpenOffice, WordPad, etc

You can now Drag & Drop stuff from Word, WordPad, OpenOffice Write etc. You can even Drag & Drop tables inside Swift To-Do List now!

Export notes and memos to PDF, DOC, DOCX, ODT, MHT

It is now possible to save (export) notes and memos to PDF, Word 97-2003 (DOC), Word Document (DOCX), OpenOffice (ODT), Web Archive (MHT), as well as into the previously supported Rich Text (RTF), Plain Text (TXT) and HTML formats.

Import notes and memos from DOC, DOCX, ODT, HTML, MHT files

You can import (load) notes and memos from Word (all versions), OpenOffice, HTML (including images) and MHT web archive files now, as well as from the previously supported Rich Text (RTF) and Plain Text (TXT) files.

Paste images into notes

It is now possible to paste images into task notes or memos using clipboard. Just make sure that you have disabled “Paste plain-text using Ctrl+V” in File – Options – Notes. If it’s enabled, you can still paste rich text and images using Ctrl+Alt+V.

Previously, you could insert image only from files using the Insert Image notes toolbar button.

Images in notes and memos are now being printed/exported

One previous limitation in Swift To-Do List was that images in notes or memos were not included in HTML export or printing. This has now changed! All exports and printouts properly contain images inserted into notes.

Smarter default notes font

When the default notes font is changed in File – Options – Notes, the new font will be applied to all notes that use the old default font. So it’s now possible to change the font (name & size) for all your notes that use the default font in just 1 step.

This wasn’t previously possible – already created notes retained their fonts even when you changed the default font.

Move lines up/down in notes and memos

You can move lines up/down in notes with keyboard shortcuts: Alt+Up and Alt+Down. Yes, these are the same hotkeys that you can use to move tasks up/down!

I personally love this feature and use it often. Especially if you work with bulleted or numbered lists in your notes, this will make your day.

Much better Find/Replace window

It supports direction (up/down), and can be left open while you continue working with notes in Swift To-Do List. It also informs you when the search has reached the end of document.

Both Print and Print Preview for notes and memos

The older versions had only Print Preview for notes, but you can now directly print the notes or memos. Additionally, the Print Preview dialog for notes and memos has been greatly improved. It looks great and the preview is sharp. We will improve the main preview dialog for tasks export in the near future, too.

New “Remove Formatting From Selection” notes/memos action

There was just “Remove Formatting From Notes” action, but now you can also remove formatting just from selection. This is useful if you paste some formatted text and want to get rid of the colors or different fonts. There is also a new hotkey for the removal of formatting from selection – Ctrl+Alt+R.

Drag & Drop of text and images inside notes and memos

You can now re-arrange text and images inside your notes and memos just using your mouse – drag & drop.

Better indenting and outdenting in notes and memos

You can now use Tab to indent text or to insert tab character, and Shift+Tab to outdent text or to remove preceding tab character.

Better selection in notes and memos

You can now see text colors and text background colors behind the selection:

That’s not all though!

Other smaller improvements regarding notes and memos -

• Better font dialog which allows you to change only certain font properties
• “Clear Notes” action is now undoable
• “Remove Formatting” action in notes is now undoable and preserves selection
• “Import” and “Append to notes” actions are now undoable
• Hyperlinks can be visited using the Enter key (when the caret is inside them)
• Hyperlinks can be specified for any text (like in Word)
• Hyperlinks can be created for local files, too (but the Attachment feature use more appropriate for this)
• Address of hyperlinks can be easily copied from the right-click menu of the hyperlink
• When task note or memo is exported to HTML, the title tag will now include the task/memo name
• Faster of inserting images into notes and displaying of notes with images
• Improved printing of notes and memos (better formatting)
• Improved behavior of “Insert line” command in notes/memos
• When you create a bulleted list, all lines will automatically get the same indent
• When exporting to HTML, the length of notes is no longer limited
• Nicer task notes/memo panel border

What’s next?

We are still working hard on the online sync feature. It is in beta and the development is going well.

Why is it so important? Well, it allows you all the following:

1. Synchronize Swift To-Do List 7 for Windows between computers
2. Invite other people to collaborate
3. View and edit your tasks using mobile devices; all smart-phones and tablets are supported, including iPhone, iPad, Android devices, BlackBerry, etc.
4. View and edit your tasks using web browsers (like Firefox, Chrome, Safari, Opera, IE) from Windows/Mac/Linux; so you can work with your tasks even on computers where Swift To-Do List 7 is not installed.
5. Merge multiple databases into one
6. Remotely backup your Swift To-Do List data

In the meantime, you can use other solutions to safely and completely synchronize your Swift To-Do List database across multiple computers, for free. With the latest update of Swift To-Do List, this is easier than ever.

Services such as Dropbox or Microsoft SkyDrive create a special folder on your computer, which is kept synchronized via Internet across all your computers. If you put your Swift To-Do List database file into such folder, you can access it from all your computers.

Another big benefit is that you will have a backup of your database file in the cloud, so if anything happens to your computer, you can easily recover your Swift To-Do List data. Better yet, these services usually keep file history as well, so in the unlikely case your database file becomes damaged, you can recover a previous version of it.

There are only two downsides: You can’t work on the same database with other people, and you should shutdown your computer (or exit Swift To-Do List) before going to another computer.

Dropbox is free and comes with 2 GB storage, which is more than enough even for multiple Swift To-Do List databases, which usually have no more than 30 MB.

Microsoft SkyDrive is also free and comes with 7 GB storage.

Both work well, so which one you choose is up to you.

(Alternatively, you can also run Swift To-Do List from a USB thumb-drive, if you don’t have Internet on one of the computers.)

How to synchronize and backup Swift To-Do List with Dropbox or Microsoft SkyDrive

Because Swift To-Do List stores the whole database in a single file, it can be synced via a cloud-drive service easily.

You can use Dropbox or Microsoft SkyDrive (or other service) to synchronize Swift To-Do List between all your computers (home, work, laptop…).

Here are the steps:

1. Download and install Dropbox or SkyDrive
2. Start Swift To-Do List, and use File – Relocate Database, and save your database into the new Dropbox or SkyDrive folder. It’s usually under your personal user folder, e.g. C:\Users\YOUR USERNAME\Dropbox.
3. In Swift To-Do List, Use menu File – Options, and uncheck “Lock database file for exclusive access” in the Options window. That way, Dropbox/SkyDrive can read your database file even when Swift To-Do List is running.
4. (From now on, your database will be automatically synchronized by Dropbox/SkyDrive on the background)
5. Install Dropbox or SkyDrive on all your other computers
6. Start Swift To-Do List on your other computers, and use File – Open Database, and open the database from the Dropbox/SkyDrive folder. (When asked if you want to make the database default, click Yes).
7. On your other computers, also go to Options in Swift To-Do List and uncheck “Lock database file for exclusive access“.

That’s it! Your database is now automatically synchronized via cloud for free.

Online synchronization

Update on March 29, 2011: You can synchronize Swift To-Do List with Dropbox.

This is the most important feature. We plan to ship it in 3-5 months. Is is our #1 priority. Online synchronization will allow you to easily sync Swift To-Do List databases between computers through our secured cheap tower server with just 1 click (or automatically). But not only that…

Companion web-app (Swift.me)

You will be also optionally able to access your tasks online using a web browser via our new www.swift.me service. It will be a companion web-application that will allow you to view, add and edit tasks, and more, of course. It will be faster than our current Swift To-Do List Online service. We will support encrypted https:// protocol for maximum security.

Mobile access (iPhone, Android, BlackBerry, iPad, and more)

The Swift.me web-app will be accessible from various mobile devices, including iPhone, Android, BlackBerry and iPad. You will be able to view, add and edit your tasks, and more.

Simple team collaboration

Because the online synchronization will have a conflict-handling, it will be finally possible to use Swift To-Do List in a multi-user environment. At first, the team capabilities will be very basic, but we will quickly add per-to-do-list permissions settings and other useful multi-user features.

Sub-tasks

You can now move tasks up and down. Sub-tasks support will allow you to also move tasks right and left.

This feature has been requested many times and we’ve avoided it because it is fairly difficult to implement, and we were afraid that it would complicate the program too much. However, we now have a way how to add support for sub-tasks with only minor effort on our side.

It will be possible to turn the sub-tasks support on/off as needed. If you do not care for sub-tasks, you will be able to hide their support altogether. However, it will be just extra two toolbar buttons (Move task right, move task left).

We still need to figure out how will the sub-task behave (eg. What happens when you check a parent task – should all sub-tasks get checked too?), but it will be probably configurable in Options.

Database merging

You will be able to use the online synchronization on two different databases to merge them (join them into one). Joining two databases is currently not possible, and we know that some of our users will welcome this possibility.

In-line editing

This is another feature that you’ve often requested. We plan to add in-line editing support this year.

In-line editing will allow you to edit tasks directly in the task-view, without having to open the Edit Task dialog. We’ve yet not decided the final design of this feature yet, but it won’t make the program more complex.

Calendar and scheduling

After we ship all the above features, calendar (with intra-day scheduling) will be the most important feature to add next. So it will be very likely added this year as well.

Simple time tracking

We are also thinking about including a simple time tracking, so you can measure how much time you actually spend on your tasks.

Update on March 27, 2011: We’ve added time tracking in Swift To-Do List 7.26.
